The short version. Harmony collects the information you give us when you book a call, become a client, or use the client portal, and we use it to shop, place, and manage your insurance. The free tools on this site run entirely inside your own browser — what you type into them never reaches us. We do not sell your information. If you give us your phone number, you can tell us to stop calling or texting at any time and we will.
1Who this policy covers
Harmony Financial is a DBA of Harmony Financial Group, an independent insurance brokerage. This policy covers myharmonyfinancial.com, the free tools on it, the client portal at portal.myharmonyfinancial.com, and the information we handle when you work with us as a client or take part in the Second Look Referral Program.
Harmony is not an insurance company. Policies are issued and administered by the carriers that write them. Each carrier has its own privacy practices, sends you its own privacy notice, and we do not control either one.
2Information you give us
- When you book a call. Your name, email address, phone number, and anything you choose to write in the notes.
- During a Clarity Call or Clarity Session. Information about your household and property that is needed to look at your coverage: who lives there, what you own, what you drive, what policies you already have, which companies write them, what they cost, prior claims, and dates of birth.
- When a policy is quoted or placed. Whatever the carrier requires on its application. Depending on the line of business, that can include a driver's license number, a Social Security number, property details, and information about other people in your household who will be named on the policy.
- In the client portal. Your account login, documents you upload, and messages you send us there.
- When you contact us. Whatever is in your call, text, voicemail, or email.
Some of this is sensitive. We ask for it only when it is needed to quote, issue, or service a policy, and we will tell you why at the time. You can always decline — though if a carrier requires something, we may not be able to get you a quote without it.
3The free tools do not send us anything
The Life Insurance Calculator, Coverage Gap Finder, Coverage IQ, and the Fit Finder all run inside your web browser. The numbers and answers you enter are used to draw your result on the screen. They are not transmitted to Harmony, not stored on any server, and not kept after you close the page.
Using a tool does not create a client file and does not tell us who you are. If you want to talk about a result, you have to book a call and tell us yourself.
4Information collected automatically
- Server logs. This site is hosted by Netlify. Like any web host, it records requests: IP address, date and time, the page requested, browser and device type, and the page that referred you. We use this to keep the site running and to see roughly how many people visit which pages.
- Fonts. The site loads its typefaces from Google Fonts. That request sends your IP address and browser information to Google.
- Cookies. This site sets no cookies. It uses no advertising pixels, no retargeting, and no cross-site tracking. If that ever changes, this page will be updated and the date at the top will change before the change goes live.
5Phone calls, text messages, and email
If you give us your phone number, you are agreeing that Harmony may call and text you about your insurance — to arrange and follow up on your Clarity Call, to ask the questions a quote requires, to send documents, and to service your policies once they are in place.
- Message frequency varies. Message and data rates may apply.
- Reply STOP to any text to stop texts. Reply HELP for help. You can also tell us to stop by phone or email, and we will.
- Agreeing to marketing calls or texts is not a condition of buying anything. You can opt out of marketing messages and still be a client, and still receive service messages about policies you own.
- We do not sell or rent your phone number, and we do not give it to anyone else for their own marketing.
6How we use your information
We use it to quote coverage, apply for it on your behalf, service and renew your policies, help with billing and carrier questions, help you reach coverage we cannot write ourselves, keep the records the State of Illinois and our carriers require us to keep, meet our legal and licensing obligations, and to reach you about your coverage.
We use traffic information in aggregate to improve the site. We do not use your information to make automated decisions about you. Underwriting decisions are made by carriers, using their own processes.
7How we share your information
- Insurance carriers and their systems, when you ask us to quote or place coverage. This is the main reason your information goes anywhere at all.
- Quoting, rating, and underwriting services that carriers and brokerages rely on, including motor vehicle records, claims history reports, and property reports.
- Companies that run our business tools — scheduling, email, document storage, the client portal, electronic signature — under agreements that limit them to working on our behalf.
- Other licensed agents, only when you ask us to hand you off, or when you came to us through the Second Look program, and only with what that handoff requires.
- When the law requires it — a subpoena, a court order, the Illinois Department of Insurance, a fraud investigation, or to protect someone's safety.
- If the business changes hands, your information may transfer with it, and will remain covered by this policy or one at least as protective.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
8The client portal
Portal accounts are for clients, team members, and Second Look partners. You are responsible for keeping your login to yourself and for telling us quickly if you think someone else has it. Documents you upload are kept so we can service your policies. If your account is closed, we keep what our record-keeping obligations require and remove the rest.
9Medicare
Medicare is handled as a separate lane. Information you give us for Medicare is used for Medicare purposes only. We do not use it to market home, auto, or life insurance to you, and we do not raise other lines of insurance during a Medicare appointment unless you have asked us to in advance and in writing, as the federal rules require.
We do not offer every plan available in your area. Any information we provide is limited to those plans we do offer in your area. Please contact Medicare.gov or 1-800-MEDICARE to get information on all of your options.
10How long we keep it
Client records are kept for as long as you are a client, and afterward for the period that Illinois insurance regulations, our carriers, and our own insurers require — generally several years past the end of a policy. Information from people who inquired but never became clients is kept for a shorter period and then deleted.
11How we protect it
Client information is held in access-controlled systems, the portal requires a login, and files move over encrypted connections. No system is perfect and we will not tell you ours is. If a breach affects your information, we will notify you as Illinois law requires.
12Your choices
- Ask what we hold about you, and ask us to correct it.
- Ask us to delete what we are not required to keep.
- Tell us to stop calling, texting, or emailing you.
- Decline to give us something in the first place.
We will do these on request regardless of where you live. If your state has a comprehensive consumer privacy law, tell us and we will handle your request under that law. You also have rights under insurance privacy rules that come to you directly from each carrier, in the notices they send you.
To make a request, use the contact details at the bottom of this page. We may need to confirm who you are before we act on it.
13Children
This site is meant for adults shopping for household insurance. We do not knowingly collect information from anyone under 16. Children are of course named on household policies — that information comes from the parent or guardian applying for the coverage, not from the child.
14Other companies' sites
Links out from this site — to a carrier, to Medicare.gov, to ClaimSpeak, to the NAIC license lookup, to our scheduling tool — lead to companies we do not control. Their privacy practices are their own, and worth reading.
15Changes to this policy
If this policy changes, the date at the top changes with it. Anything material will be flagged on the site rather than slipped in quietly.
